SAFEXE LTD (trading as SAFEXE Gas, Plumbing & Heat Pumps), company number 16612008, registered in England and Wales. We are the data controller for the information described here. Our registered office is listed on our terms and conditions.

What we collect

Contact details you give us: name, phone number, email address and property address or postcode.
Job details: what you need, photos you send, notes about your property and heating system, and for heat pump enquiries the property’s public EPC record.
Messages you send by our website forms, email, phone or WhatsApp.
Records of work: quotes, invoices, payments, service records and gas safety records.
Website data: pages visited, device and browser type and how you found us, collected through cookies. See our cookie policy.

Why we use it

To reply to your enquiry and give you a price (taking steps at your request before a contract).
To carry out the work, invoice you and provide warranties (performance of a contract).
To keep records we’re required to keep, such as gas safety records and accounts (legal obligation).
To register equipment warranties and, for heat pumps, to arrange MCS certification and grant paperwork with our accredited partner (contract).
To understand how people use the website and to measure our advertising (legitimate interests, or your consent where cookies require it).

We don’t sell your information, and we don’t send marketing emails unless you’ve asked us to.

Who we share it with

Only where it’s needed to do the job or run the business:

Manufacturers, to register warranties
Our accredited MCS partner and the grant scheme administrator, for heat pump installs
Trusted trades working with us on your job, such as electricians, tilers and plasterers
Our accountant, and software we use for job management, accounts, email and messaging
Website and advertising services such as our hosting provider, Google (analytics, ads and reviews) and Meta
Gas Safe Register, building control or other authorities where the law requires it

How long we keep it

Enquiries that don’t go ahead: up to 2 years
Customer, job and invoice records: 6 years after the work, for tax and warranty purposes
Gas safety and installation records: as long as required by the relevant regulations and manufacturers

Your rights

You can ask to see the information we hold about you, ask us to correct it or delete it, object to how we use it, or ask us to limit its use. Some records we must keep by law. Email info@safexe.co.uk and we’ll reply within a month.

If you’re unhappy with how we’ve handled your information, you can complain to the Information Commissioner’s Office at ico.org.uk.
